Why paper luggage logs become difficult
Hotels often store bags for guests arriving before check-in or leaving after check-out. At busy times, handwritten records can be hard to search, location notes may be inconsistent and shift handovers can depend on one colleague remembering where an item was placed.
A digital luggage register does not remove the need for physical tags, a controlled luggage room or staff judgement. It gives the team a searchable operational record that connects the tag, bag count, storage location and collection status.
The store, locate and collect workflow
1. Store
Create a record when the luggage is handed over. Enter the physical tag number, number of bags and the internal storage location. Add colour, notes and an optional photograph only where useful.
2. Locate
When the guest returns, search by tag number or narrow the records by location or colour. The recorded location helps staff go to the right zone or shelf. This is not GPS tracking.
3. Collect
Confirm the correct record and mark all or some bags as collected. Partial collection matters when several bags share one tag but leave at different times.
4. Review
Local history supports shift handovers and operational checks. CSV export can help an authorised team retain or review relevant records.
Use photographs proportionately
Photos can help distinguish similar bags, but they should remain optional. Hotels should avoid collecting unnecessary personal information, select an appropriate retention period and delete photos when they are no longer needed.
