What should a hotel luggage register record?
A useful register should identify the physical luggage tag, the number of bags, the internal storage location, the current status and the time or date needed for an operational history. Colour, notes and an optional photograph can provide additional identification where appropriate.
| Record field | Operational purpose |
|---|---|
| Tag number | Connects the digital record to the physical hotel tag. |
| Bag count | Shows how many items belong to the handover. |
| Storage location | Directs staff to the correct zone, shelf or area. |
| Colour and notes | Helps distinguish similar luggage without adding unnecessary data. |
| Optional photo | Provides visual identification when the hotel chooses to use it. |
| Collection status | Records full or partial collection. |
| History | Supports shift handover and later operational checks. |
Replacing or supplementing a paper logbook
A hotel may move fully to a digital process or use a digital register alongside existing physical tags and procedures. The aim is not to add complexity. It is to make records easier to retrieve and reduce ambiguity about the number and location of stored items.
Searchable records
Unlike a paper page, a digital record can be searched by tag number and filtered by location or colour. Sorting helps staff review the register in a useful order during busy arrivals, departures or shift handovers.
History and retention
Operational history and photographs do not have to follow the same retention period. Lugexa can remove optional local photos automatically after the selected period while a luggage record or history entry remains available. Hotels remain responsible for choosing appropriate local procedures.
The current Lugexa register
The current Lugexa app is local and account-free. It supports tag tracking, multiple bags, partial collection, optional photography, locations, notes, colour, search, filters, sorting, history, CSV export and local data controls.
