At handover
Confirm the bag count, attach or reference the hotel’s physical tag and create the record while the details are clear.
Keep the guest handover simple while giving every shift a clear record of the tag, bag count, location and collection status.
Guest luggage may arrive before a room is ready, remain after checkout or pass between reception, concierge and bell staff. Lugexa is being developed as a shared browser workflow for reception computers, tablets and phones.
Confirm the bag count, attach or reference the hotel’s physical tag and create the record while the details are clear.
Use consistent internal location names such as zones or shelves so another colleague can retrieve the item.
Search the tag, check the record and confirm whether every bag or only part of the handover has been collected.
A short, repeatable process is easier to follow when reception is busy. Record only what helps the next colleague: tag number, bag count, location, colour, concise notes and an optional photo. Avoid making photography a mandatory bottleneck.
A searchable register makes it easier to see which luggage is still stored. History and status reduce dependence on verbal messages, while filtered Print and PDF reporting is being verified for authorised operational checks.
Family groups and long-stay guests may leave more than one item. Lugexa can place multiple bags under one tag and record partial collection when the guest returns for only some of them.
Software supports the process but does not replace identity checks, secure room access, a physical tag system, staff training or the hotel’s responsibility for guest property and personal data.
The cloud-backed browser development build provides core Store, Active, Collect and History workflows with optional photos, search, filters and multiple-device access for the same Free identity. Public signup and PMS integrations are not available.
